I run WhoHasGear, a QR equipment checkout tool for schools, churches, production teams, and workshops. Before that I spent years around the exact problem the product solves: shared gear that walks away, and the spreadsheets that were supposed to stop it.
Why the guides exist
Most equipment-tracking advice online is either a product pitch or a generic listicle. These guides are neither. Each one documents a working system — labels, logs, and habits — for a specific kind of team: a sound booth, a dance studio, a loan closet, a prop table.
How each guide is built
- Start from the operation, not the software. Every guide works on paper with a clipboard before it mentions any tool. If a system only works when you pay for software, it is not a system.
- Match how the gear actually moves. Checkout, pre-set, loan, rehearsal, recital — the log follows the object's real life, not an accounting model.
- Cite what can be cited. Operational steps come from practice; claims about safety, cleaning, or regulations link to primary sources like the EPA or CDC rather than to other blogs.
- Update, don't accumulate. Guides carry a published and an updated date, and stale advice gets fixed instead of buried.
