About WhoHasGear
WhoHasGear is equipment checkout software for small teams that share physical gear. You put a QR label on each item. Anyone borrowing it scans the label with their phone, types their name and a due date, and walks away. You always know who has what.
What WhoHasGear does
- Prints a QR label for every item on ordinary Avery label sheets.
- Lets borrowers check gear out and back in with any phone camera. No app, no account.
- Shows a live board of what is out, due, reserved, overdue or on the shelf.
- Keeps a full custody history for each item: who had it, when, and what condition it came back in.
- Takes reservations that block double-booking, and groups items into kits (reservations need a paid plan).
- Imports your existing spreadsheet from a CSV file.
Who it is for
Teams that lend gear to people they trust but still lose track of it: church AV and ministry teams, schools and film programs, production houses, makerspaces, IT loaner closets, theatre companies, youth camps, workshops and nonprofits. WhoHasGear is built for small teams where several people share the same pool of equipment and one person needs to know where it all is.
Why it exists
Shared equipment has a habit of ending up somewhere other than where the record says it is. The spreadsheet says the mic kit is on the shelf; the shelf disagrees. WhoHasGear puts the checkout record on the gear itself, so anyone can scan an item and see who has it.
Who builds it

How we work
- Priced by inventory, never per person. Staff logins are unlimited on paid plans, and borrowers never need an account.
- Existing equipment can be imported from a CSV file.
- Your data stays yours: CSV export is included on every plan, free included.
- Free guides first. Every guide on this site works as an operational process before it mentions software.
