How do you make an equipment sign out sheet?

Add an organization name, choose your row count and keep only the columns you will actually fill in. Equipment and Borrower stay on every sheet so each handover has an item and a named person.

Select the same paper size in the generator and your browser’s print dialog. Use landscape orientation, check the preview and turn off browser headers and footers if they crowd the page. Print extra blank copies before a busy handover.

  • Write one equipment handover per row.
  • Agree on a due date before the item leaves.
  • Fill in the return date only after checking the item back in.
  • Use the same item ID on the sheet and the equipment label.

Which fields should you keep?

Keep Equipment, Item ID, Borrower, Date out, Due date and Date returned for a simple lending record. Add condition and signature columns when your handover process needs them, rather than making every checkout harder to complete.

Condition out and Condition in help you record what was noticed at each handover. Write a specific observation, such as a missing lens cap, rather than a vague rating. These notes are a record, not proof of who caused damage.

A signature can acknowledge a handover, but this sheet is not a legal agreement or a liability waiver. Follow your organization’s own borrowing rules and collect only the information you need.

What does a completed row look like?

For a fictional example, write Camera kit, CAM-014, Alex, October 1, October 3 and October 3 across the six default columns. The last date means the item was actually returned; it should not be filled in ahead of time.

If the kit includes a charger and two batteries, check those parts during both handovers. Use separate rows for individually tracked items when they can be borrowed independently. Keep the blank sheet near the equipment, not in a folder nobody opens.

Can you save the sheet as a PDF?

Yes. Select Print / Save as PDF, then choose your browser’s Save as PDF destination. This is browser printing, not a separate PDF download service.

Ordinary Letter or A4 printer paper is enough; no special labels or paid stationery are required. Choose fewer columns if handwriting feels cramped. Long sheets split into pages, with the column headings repeated. Check the print preview before making multiple copies.

When should you use a spreadsheet instead?

Use paper when you need a simple shared clipboard at one handover point. Choose a spreadsheet when one organizer needs a searchable running log and overdue highlighting. Use checkout software when you need a current status view across borrowers and locations.

This generator makes blank lending records. It does not import inventory, maintain a roster, send reminders or update availability. Its settings reset when you refresh the page; keep a printed copy or save the PDF if you need it later.
